Registration of the defence date

This is the very first and indispensable of formal steps for the PhD defence, and should be done by the PhD student. Although the clear deadline is unclear at the moment, most likely it should be a month or more prior to the registration of the defence – meaning that, it should most likely be done 4 months or more before your PhD defence from autumn 2020 onwards. Do check the guidelines available at LTH

When you make the registration of the defence date, make sure to include the PhD administrator in the form as the “departmental secretary” (or equivalent). That way (s)he will get all the notifications as the formal procedure proceeds.

By the time you book the defence, your supervisors should have contacted people who could serve as your opponent and examination committee members, as well as the chairperson of the event, and figured out if the timing works for them. The opponent and committee members should cover the research area of the PhD students in a good way, at least two of the committee members should have docent of equivalent, have a good gender balance and importantly, should not have conflict of interests with any of the supervisors or the student her/himself. Before selecting the opponent and committee members, please read the guidance document published by the LTH carefully. 

When contacting the potential opponent and the examination committee members, it will be useful to provide them with a guidance document explaining the defence procedure and roles and responsibilities of different actors involved

During this time, also make sure to book the location for defence (i.e. aula), well in advance.
