To do after the approval of the registration of the defence

Once the registration of the defence is approved by the post graduate education committee at the LTH, the supervisors should do the following:

Sending the very-close-to-final thesis by the examination committee members and the opponent for their pre-evaluation

From autumn 2020, the LTH requires a pre-examination of draft PhD thesis by the examination committee members and the opponent. Once the registration of the defence is approved by the post graduate education committee at the LTH, the supervisor should send the most updated version of the thesis to the examination committee members and the opponent for their review, and a written reply indicating that the thesis will be defendable by the defence date, should be obtained (it does not have to be a written evaluation). The IIIEE Director and the Director of PhD studies should ensure that the updated thesis is sent and that the replies are received.  

Inform the PhD administrator of the approval

The supervisor should communicate the approval of the defence registration to the PhD administrator, so that (s)he could start communicating with the opponent and examination committee members for their logistical arrangement. 

Invite the relevant actors for meal in conjunction with the defence

The PhD administrator will order a table for a meal hosted by the IIIEE in conjunction to the defence (if the defence is in the morning, the IIIEE hosts a dinner the night before. If the defence is in the afternoon, the IIIEE hosts an early lunch on the same day). In addition to mingling, the meal is used as a venue for the chairperson of the defence to explain the procedure for defence. The supervisor should make sure to invite 1) the opponent, 2) the examination committee members, 3) the chairperson, 4) fellow supervisors, and 5) IIIEE Director and Director of PhD studies. The IIIEE will cover the cost for the meal for these participants. The meal is held prior to the defence, and the PhD student will not participate.

Invitation to the dinner after the PhD defence (optional)

If the PhD student decides to host a dinner after the defence and invite the examination committee members and the opponent, (s)he should 1) invite them directly, and 2) communicate this to the PhD administrator so that (s)he could take it into consideration when making logistical arrangement.
